You have decided to run the promotion. The idea is agreed, the prize is chosen and the budget is signed off. What is left is the part that can go wrong in public: the terms, the permits, the insurance, thousands of entries, the claims, the winners and the payouts. That is the part we take.
We run Australian promotions end to end, for brands and for the agencies that design them. You keep every decision that is yours to make. We carry the work, and the risk, that sits between the idea and the last winner being paid.
What we take off your desk
- Terms and conditions. Full and abridged terms, written for the mechanic you are running and the states you are running it in.
- Permits. We prepare and lodge the trade promotion permit applications in the states and territories that require one, for example with Liquor and Gaming NSW, and track them to approval. Our permits guide sets out which promotions need one. [CHECK before publishing: the permit is issued to the promoter (the brand); confirm “prepare and lodge on your behalf” is exactly how we do it.]
- Prize insurance. Where a prize is big enough to need it, we arrange the insurance that covers it, so an unexpected winner does not land on your budget. How insured promotions work. [CHECK before publishing: confirm who arranges the policy and under whose licence; “arrange” may need to read “organise through our insurance partner”.]
- Entries. Entry collection, unique code validation and moderation of every entry, including judging for skill-based competitions.
- Claims. Every claim checked against the terms before anything is paid: receipts, codes and eligibility.
- Winners. Independent winner selection: random, hourly, daily, weekly or at the end of the promotion. Then winner notification and winner management through to delivery.
- Payouts and prizes. EFT transfers, prepaid cards, eGift rewards, travel packages and physical prizes, delivered and reconciled.
- Reporting. A live dashboard of entries, claims and winners while the promotion runs, so problems show up in days, not in the wrap report.
What you still decide
The idea, the prize, the budget, the retailer conversation and every sign-off stay with you. We will tell you when a mechanic, a prize or a date creates a compliance or claims risk, and what it would take to fix it. The decision is still yours. For the idea itself, Bamboo Marketing designs the campaign before it reaches the delivery stage.
What does a promotion management company actually do?
A promotion management company runs everything after the idea: terms and permits, prize insurance, entry collection, claim checking, winner selection and payouts. The brand keeps the decisions; the management company carries the operational and compliance risk until the last winner is paid.
How it runs
- Brief. You tell us the mechanic, the prize, the dates and where it runs. We tell you what it needs: permits, insurance and the claim rules that will matter.
- Set-up. We write the terms, lodge the permits, arrange cover where it is needed and build the entry and claim flow. You approve once.
- Live. Entries, code checks and claim checks run every day, and you watch it on the dashboard.
- Close. Independent draws, winner notification, payouts and prize delivery, then a reconciled report of what was entered, claimed and paid.
The mechanics we run
Instant win, cashback, gift with purchase, prize draws, sweepstakes, winning moments, fixed-odds draws, unique codes and judged competitions. Each one carries a different load at the back end. An instant win creates a winner event with every prize; a single draw creates one. That difference decides the work, as we explain in Competition Agency or Platform: Count the Winners. For instant wins in particular, see instant win promotion management. For money back offers, see money back guarantee promotions.
If you are the agency
Agencies bring us in when the client has bought the idea and nobody in the building wants to own the permits, the claims queue or the winner payments. We work under your name or ours, report to you, and stay out of the client relationship unless you want us in the room. You keep the creative and the client; we keep the promotion running and compliant.
[CHECK before publishing: “under your name or ours” (white label) and “stay out of the client relationship” are not on the site today; keep only if true.]
Whoever runs your promotion holds your customers’ entries, your prize money and your name on every winner email. Ask any supplier, us included, how they check a claim, how they pay a winner and what happens when a permit condition changes mid-promotion. The questions worth asking before you sign.
Handing it over should mean you stop worrying about it.
